Traditionally, an email would be stored in one mailbox such as your Inbox or another ailboxyou create.Â
In Gmail, emails belong to one or more labels. By default, when you receive an email it gets given the Inbox label. You can add or remove labels however you like.
When you click on a label down the left hand side, Gmail is just filtering your emails by any email that has that label.
There's no right way to organise your emails. Some people let everything sit in their inbox. Others like to keep their inbox empty and utilise lots of labels to categorise the emails they need to keep.
Whatever you choose, make sure it serves you well and doesn't create needless busywork for you.
Rather than manually dragging emails around, consider using filters which can automatically move, flag, or mark emails as read based on conditions such as keyword or sender.
Filters are really useful but can also be the cause of emails going missing or incorrectly organised, so make sure you test your filters out and don't hesitate to contact IT if you need assistance.
You are welcome to organise, archive, or delete emails if you find it helpful, but from an IT perspective, deleting old emails is not at all necessary.
The best way to look for an email is to search for it at the top of the Gmail page. You can search by keyword, or click on the little arrow if you know specific details like who sent it or when it was sent.
If you are sending emails outside of regular working hours, we suggest you schedule the send (eg. for 8am the next day). You can do this using the arrow next to the send button!
Gmail has a lot of useful features and options under the hood. We strongly recommend you explore Gmail's settings menu to tailor things to your liking. Click on the cog wheel at the top right to see some quick options, and then click 'see all settings' to explore further.
Visit the Chrome web store and then click on the 'recommended' category. There are some extensions recommended by us that customise Gmail even further.
